HR Coordinator

London | £ On Application

Your focus is to provide a high quality, prompt and proactive support to a busy HR team. You will work across HR undertaking tasks on both a scheduled and ad-hoc basis. You are adaptable and able to cope with change and short-notice requests with high urgency. You take pride in HR records and processes being controlled, up-to-date and accurate. Your success is defined by the value placed on the user experience you deliver to your colleagues.

New Starters
o Manage all ‘standard’ offers of employment from contract draft to induction, including the follow up of queries.
o Gather, collate and organize documentation for personnel records and payroll.
o Organise and administer the first-day experience.
o Issue security passes
o Initiate Workrite Health and Safety assessment.
o Request reference checks from outsourced supplier, following through to ensure these are received and are satisfactory.
o Collate information for global new starter email.

o Ensure all probations and trial period are followed up on time.
o Issue appropriate documentation.
o Escalate queries as appropriate.

o Complete leaver paperwork.
o Schedule exit interviews.
o Gather, collate and organize documentation for personnel records and payroll.
o Complete any relevant actions (e.g. collection of passes, keys, kit, etc.).

Contract Variations
o Document contract variations on instruction.
o Distribute and control the return of signed copies.
o Collate and organize documentation for personnel records and payroll.

Archiving and filing
o Control HR filing systems.
o Responsibility for keeping personnel records up-to-date and compliant.
o Control HR archiving, including completing an archiving project each year.

o Draft all responses to reference requests (employers, tenancy mortgage, etc.).

Customer service
o Answering employee requests and questions and providing some 1st level advice and guidance

o Monitor the ‘People’ email inbox and distribute emails as relevant.
o Assist with HR projects on request
o Provide ad-hoc assistance as required to the HR Team
