Privacy policy for users of the main IPA website

1. Privacy commitment
This is the privacy policy for the Institute of Practitioners in Advertising (“we” or “IPA”) which (together with our website terms of use sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. For the purposes of the Data Protection Act 1998 (the Act), the IPA is a data controller and our address is 44 Belgrave Square, London SW1X 8QS. We are committed to safeguarding your privacy online and have developed this privacy policy to deal with issues which may concern you. Please read this policy to understand how your personal information will be treated. This policy may change from time to time so please check it periodically.

2. Personal Information
The details which you provide about yourself and any information which identifies you such as your name, address, email address ("personal information") will be collected by us when you register to use the site, or through your agency's IPA membership (if relevant), or when you submit such information directly by filling in an online form, or when you post material, fill in surveys, request services or advice or carry out transactions via the site. (See paragraph 7 for how we treat other personal information when you use our Jobs Online service.) If you are a member of an IPA committee, the information which you provide to us through your membership, such as your name and email address, may be published on the site but will otherwise be treated as personal information as described in this policy. If you work for an IPA member agency, your colleagues may provide us with your personal information, for example, with regard to your CPD record or to update your agency’s personnel pages.

3. Use of Personal Information
This information will be held on our system and used for setting up and managing your website account, for your IPA membership (if relevant), to provide you with information, products or services that you request from us and to make available to you information relating to the IPA and its services. Some of this personal information, such as your name and email address, may be available to others using this site.

4. Protection of Information
Other than as set out in this privacy policy, we will not pass on your personal information to third parties unless we are required by law or by a regulatory or government authority to do so. We do not normally link IP addresses to anything personally identifiable, which means that you remain anonymous even though we include your IP address in our aggregate information. However, we can and will attempt to use IP addresses to identify a user when we feel it is necessary to enforce compliance with our website terms of use, or to protect our services and other users.

6. How we store and protect information
We take every precaution to protect your personal information. To this end all personal information stored by us is kept on a server in a secure environment. Only employees and approved contractors/developers who need the information to perform a specific job are granted access to personal information. Regular security reviews are held by us to ensure that the site remains safe and secure for your protection.

We may need to transfer, store or process your personal information at a destination outside the European Economic Area ("EEA"). By submitting your personal information to us, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. Please do not share your password with anyone. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your personal information, we will use procedures and security features to try to prevent unauthorised access. 

7. Jobs OnLine and Talent Pool
If you submit your cv and/or details of availability for work as part of using our Jobs Online or Talent Pool services, that information will not be held or stored by us. For Jobs Online, it will be processed as described in the Jobs Online terms . Your cv will be accessible by whichever third party you are applying to.

8. IPA Email Alerts
If you have opted in to receive them, we may send you emails and other mailings about our products or services. You can opt-out of IPA alerts at any time by clicking on the unsubscribe link or by emailing us at

9. Correcting/Updating Personal Information and Contacts
If your personal information changes or if you no longer wish to subscribe to our services, we will endeavour to correct, update or remove the personal information provided to us as speedily as possible. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the personal information we hold about you.

10. Links to Other Sites
Our site may, from time to time, contain links to and from the websites of third parties.  If you follow a link to any of these websites, please note that they may have their own privacy policies and that we do not accept any responsibility or liability for those policies.  Please check them before you submit any personal information to these websites.

11. Governing Law
This privacy policy forms part of our Website Terms. Any dispute or claim arising out of this policy and the use of your personal information will be governed by English law and the courts of England and Wales have exclusive jurisdiction to resolve any such dispute or claim.

Privacy Notice for students

1. When we share your personal data with your educational institution it is because it is necessary in order to perform our contract with you for an IPA course. This processing includes (but is not limited to) sharing your details with your educational institution to verify you are a matriculated student, and sharing your examination results with them.
